PDF Passwords: How to Add, Remove and Unlock Them

To put a password on a PDF, open Add a Password to a PDF, type the password twice and click Password Protect. To take a password off a file you can already open, use Remove a Known PDF Password. Both run in your browser, so neither the document nor the password leaves your device, and neither tool can open a PDF whose password you don't know.

What's the difference between an open password and a permissions password?

A PDF can carry two kinds of password, and they do very different jobs.

  • Open password (also called the user password). Without it, the file won't open at all. The content is encrypted, so this is real protection, as strong as the password you choose.
  • Permissions password (also called the owner password). This controls what people can do once the file is open: print, copy text, edit, comment, fill forms or rearrange pages. These restrictions are rules that PDF readers are expected to respect. Mainstream readers do, but the content isn't locked away from someone who can already open it.

A file can have both, or only restrictions. Bank and card statements usually have an open password; some downloaded reports open freely but block printing or copying.

How do I add a password to a PDF?

  1. Open Add a Password to a PDF and upload the file. If it's already protected, you'll be asked for its current password first.
  2. Enter the password in Password to open and again in Confirm password. This step is required: the tool always sets an open password.
  3. Optionally set an Owner password (optional). Other PDF software asks for it before permissions can be changed. Leave it blank and a random one is generated.
  4. Under Encryption, keep AES-256 (recommended). Pick AES-128 (older readers) only if a recipient uses very old software that can't open AES-256 files.
  5. Untick anything you want to forbid: Allow printing, Allow copying text & images, Allow editing, Allow comments, Allow filling forms or Allow page assembly. All six are allowed by default.
  6. Click Password Protect. The file downloads with "-protected" in its name.

Encryption doesn't change the text, images or layout. Access for accessibility tools always stays on, so a screen reader can still read a file in which you've blocked copying.

How do I choose a good PDF password?

The open password is the only thing between someone who intercepts the file and its contents, so length matters most. A passphrase of four or five random words is strong and still easy to type. Strong Password Generator creates random passwords or passphrases on your device, and Password Strength Checker estimates how long a password would take to crack.

Send the password by a different route from the file. If the PDF goes by email, share the password by text message or on a call. Store it somewhere safe as well: if it's forgotten, nobody can open the file, including you. Keeping an unprotected original in a secure place is a sensible backup.

How do I remove a password from a PDF I can open?

  1. Open Remove a Known PDF Password and upload the PDF.
  2. When the box appears, type the password and click Open. If it's wrong, you'll see "Incorrect password — try again."
  3. Click Remove Password. A copy downloads with "-unlocked" in its name.

Only the encryption is removed. Text stays selectable, pages aren't turned into images, and links, bookmarks, form fields and attachments are kept. This is handy for archiving monthly statements without typing the password every time, or for giving a payslip to an accountant whose software can't open protected files. Remember that the unlocked copy opens for anyone who gets hold of it, so store it as carefully as you'd store the paper original.

Statement passwords in India are often built from details such as part of your name and your date of birth. The exact format is usually explained in the email the statement came with.

What can "Unlock PDF" do, and what can't it?

Allow Printing & Copying in a PDF handles the other kind of protection: a PDF that opens normally but won't let you print, copy or edit. Upload it and click Unlock PDF. The restrictions are removed and a clean copy downloads with "-unlocked" in its name.

It works without the permissions password because a restriction-only PDF is encrypted with an empty open password. Your browser can already open it; the restrictions are rules it is asked to follow, and the new copy is simply saved without them.

What it can't do:

  • Skip an open password. If the file needs one, you're asked for it, exactly as in Remove a Known PDF Password.
  • Guess or recover a forgotten password. There is no cracking or brute-force feature in any EasyConvert tool.
  • Open unusual security types, such as certificate-based encryption, which needs the recipient's own digital ID.

If a PDF isn't protected at all, you're told there's nothing to remove.

Only unlock files you own or have permission to change. Lifting restrictions on your own statements and reports is generally fine; for documents from someone else, respect their copyright and the terms under which you received the file.

Troubleshooting

  • "Passwords do not match." The two boxes differ. Retype both, and check caps lock, because the boxes hide what you type.
  • "Incorrect password — try again." PDF passwords are case-sensitive. Check the instructions that came with the file.
  • A recipient's older app won't open the file. Protect the original again, this time with AES-128 (older readers).
  • You need different permissions later but left the owner password blank. Start again from your unprotected original and choose new settings.
  • Restrictions seem to be ignored in some app. Permissions rely on the reader respecting them. If content truly mustn't be copied, remove the sensitive parts with Redact PDF before sharing.
  • Another tool refuses the file. Many tools can't work on encrypted PDFs. Remove the password, do the job, then add a password again.

Quick answers

Can I remove a PDF password if I've forgotten it?

No. EasyConvert's PDF tools need the correct open password to decrypt a file and do not guess or crack passwords. Look for the password in the email or letter that came with the document.

What's the difference between Remove Password and Unlock PDF?

Remove a Known PDF Password is for files that ask for a password to open: you enter it and save an unprotected copy. Unlock PDF is for files that open freely but block printing, copying or editing, and it lifts those restrictions.

Is AES-256 safe for PDFs?

AES-256 is the strongest encryption the PDF format offers and is the default in Add a Password to a PDF. In practice the protection depends on the password, so use a long, random passphrase.

Do PDF restrictions really stop copying and printing?

Only in readers that respect them. Mainstream readers do, but restrictions don't lock the content itself, so treat them as a deterrent rather than real security.

Does removing a PDF password reduce quality?

No. The file is decrypted and saved as it is, so text stays selectable and images aren't re-compressed.
