How to Sign and Fill In a PDF Form Without Printing

To sign and fill in a PDF without printing it, open Fill In PDF Forms to type into the form's fields, then add your signature with Sign a PDF or the free-placement PDF Editor. Everything runs in your browser, so the form and your signature never leave your device.

Does my PDF have fillable fields?

Some PDFs are true forms. They contain text boxes, checkboxes, radio buttons and drop-downs that any PDF reader can fill. Others only look like forms: a scan or an export with lines and boxes printed on the page, but nothing to type into.

Upload the file to Fill In PDF Forms and it tells you straight away. If it finds fields, you'll see a count such as "14 fields found", and each field is shaded light blue on the page. If it finds none, it says so and opens free-form mode, where you click anywhere to type, add ticks and crosses, stamp today's date and place a signature.

How do I fill in a PDF form on my computer or phone?

  1. Open Fill In PDF Forms and upload the PDF. If it is password-protected, enter the password when asked.
  2. Type into the fields on the page, or use the All fields list below the pages, which is easier on a phone.
  3. Tick checkboxes, choose radio options and pick from drop-downs. Fields that the form marks as read-only stay locked.
  4. Decide whether to tick Flatten — lock the answers so they can no longer be edited (explained below).
  5. Click Download Filled PDF. The file is saved with "-filled" added to its name.

Answers in Greek, Cyrillic and other scripts are handled with an embedded Unicode font.

How do I add my signature to a PDF?

There are two tools, and they suit different jobs.

[Sign a PDF](/sign-pdf) is the quickest when the signature goes in a standard spot on one or more pages:

  1. Upload the PDF.
  2. Choose Draw and sign in the box with a mouse, trackpad or finger, or choose Type and enter your name under Your name to get a cursive version. Clear wipes the box.
  3. In Pages, enter the pages to sign: "1", "3-5", or "1-12" to initial every page of a 12-page agreement.
  4. Pick a Position: top left, top centre, top right, bottom left, bottom centre or bottom right. The default is bottom right.
  5. Click Sign PDF. The copy downloads with "-signed" in its name.

The signature sits about 1.3 cm in from the page edges and is up to 180 points wide (roughly 6.3 cm), or 35% of the page width on small pages.

[PDF Editor](/edit-pdf-text) is the one to use when the signature must sit on a particular line, such as "Signature of applicant". Choose Signature and a dialog opens with three tabs:

  • Draw: sign on the pad. Faster strokes come out thinner, like a real pen.
  • Type: enter your name and pick one of two handwriting styles.
  • Upload photo: sign on white paper in dark ink, photograph it, and the paper background is removed automatically.

Choose an ink colour (black, blue or green), click Use signature, then drag it into place and resize it with the corner handle. Signatures you create are offered again for the rest of the session, which makes initialling several pages quick. Click Save PDF when you're done.

If the photo option says no signature was found, retake the picture in better light. For a clean signature image to reuse on application forms, try Signature Resizer & Cleaner.

How do I fill the fields and sign the same form?

On a fillable form, work in this order so nothing gets lost:

  1. Fill the fields in Fill In PDF Forms and download without ticking Flatten.
  2. Open that filled copy in the PDF Editor, place your signature on the signature line and save.
  3. Run the signed copy through Flatten PDF if the answers need to be locked.

The Fill Forms page also has a link to switch to free-form mode for signing. Answers you already typed in the field view aren't drawn on those pages, but they are kept and saved together with your signature.

What does flattening a PDF do?

Flattening turns form fields into ordinary page content. Your answers are drawn onto the page, the boxes stop being editable, and the form looks the same in every reader, including viewers and printers that would otherwise hide field values. Flatten PDF also paints comments, highlights, stamps and drawings permanently onto the page. Links stay clickable, and the pop-up text attached to comments is dropped. The copy is saved with "-flattened" in its name.

Keep two things in mind. Flattening can't be undone, so keep the editable original if you might need to change an answer. And flattening is not protection: anyone with a PDF editor can still add things on top. If you need to control who can open the file, add a password with Add a Password to a PDF.

Is this kind of signature legally valid?

These tools add a visible electronic signature: an image of your handwriting placed on the page. It is not a certificate-based digital signature. A digital signature uses a certificate issued to you and cryptographically seals the file, so the signer can be verified and any later change shows up. An image signature does neither. It can be copied, and the page can still be edited after signing.

For everyday paperwork such as rental agreements, school consent forms, HR declarations and delivery notes, an image signature is widely accepted, but rules differ between countries and organisations. Some filings specifically require a certificate-based signature. In India, for example, certain company and tax filings need a Digital Signature Certificate (DSC) or Aadhaar-based eSign, issued through certifying authorities licensed by the Controller of Certifying Authorities. If you're unsure, ask the recipient what they accept before you send.

Common mistakes and how to fix them

  • Flattening before filling. Flattening an empty form locks in empty boxes. Fill first, then flatten.
  • Signature in the wrong place. Sign a PDF offers six fixed positions. If the signature line is in the middle of the page, use the PDF Editor instead.
  • Typed signature looks different on another computer. Sign a PDF's Type option uses a cursive font installed on your device, so the style varies between devices. Once saved, it looks the same to everyone.
  • "No fillable fields" on a form you expected to fill. The PDF is flat. Type on top of the lines in free-form mode or the PDF Editor.
  • Replaced text is still searchable. Editing existing text in the PDF Editor covers the old words rather than erasing them. To remove something for good, use Redact PDF.

Quick answers

Can I sign a PDF without printing it?

Yes. Draw, type or upload a photo of your signature in EasyConvert's Sign a PDF or PDF Editor, place it on the page and download the signed copy. No printer or scanner is needed, and the file is processed on your device.

Is a drawn signature the same as a digital signature?

No. A drawn or typed signature is an image placed on the page. A digital signature uses a certificate to prove who signed and to reveal any change made afterwards, and these tools don't create that kind of signature.

How do I stop people editing my filled PDF form?

Tick Flatten when downloading from Fill In PDF Forms, or run the file through Flatten PDF. The answers become ordinary page content instead of editable fields, although the page can still be marked up in an editor.

Can I fill in a PDF that has no form fields?

Yes. Fill In PDF Forms switches to free-form mode, where you click anywhere to type, add ticks, crosses and today's date, and place your signature.

Is my signature stored anywhere?

No. It exists only in your browser tab while you work and in the PDF you download. Signatures made in the PDF Editor are offered again only until you leave the page.
